Medical Records Storage
The Challenge:Oudated medial records storage systems
Gloucestershire Hospitals NHS Foundation Trust, responsible for high-quality care across Cheltenham General and Gloucestershire Royal Hospitals, faced growing demands due to increasing patient numbers. Their existing patient records storage systems at both Cheltenham and Gloucester Hospitals were outdated and unable to accommodate the increased volume. The Trust decided to update the storage systems, which included relocating patient records and replacing mobile and static racking at both sites. Additionally, Cheltenham's records facility, housed in a Grade 2 listed Victorian building, presented unique challenges due to its historical importance and architectural features.
The Approach: Mobile racking to increase capacity
The Trust planned a phased approach, refurbishing the Gloucester site first with mobile racking, followed by the relocation of patient records and installation of new shelving. Link51 ensured the floor was reinforced to support mobile racking and minimised disruptions during the installation process. Cheltenham’s records were moved in stages to create space for the new system.
The Solution: Tailored Medical File Storage Shelves
Link51 installed static and mobile shelving units at both hospitals, significantly increasing storage capacity. At Gloucester, 18 units of 9.7m long mobile racking were installed, providing 2850 linear meters of storage. At Cheltenham, 24 units of 12.7m long mobile shelving created an additional 6000 linear meters of storage. The new system increased efficiency by reducing the number of times mobile units needed to be moved to access records. The shelves were coated with ActiveCoat to reduce the risk of bacterial contamination, ensuring a safer storage environment.
The Difference: Enhanced patient records management
Whittan’s flexible and efficient storage solutions allowed Gloucestershire Hospitals NHS Foundation Trust to greatly enhance their records management. With improved space utilisation, increased capacity, and a reduction in operational disruptions, the Trust was able to ensure more efficient handling of patient records and maintain high standards of care. The new systems will support future growth while preserving the integrity of patient records.
